2. Scope

This Policy applies to the handling of personal information in the Lastmods app and the web catalog (under lastmods.com). The service is intended for residents of British Columbia, Canada, and the British Columbia Personal Information Protection Act (PIPA) and the Personal Information Protection and Electronic Documents Act (PIPEDA) serve as the primary governing frameworks. Because the operator is located in Japan, the Act on the Protection of Personal Information of Japan also applies.

3. Information We Collect

3.1 Account information

The service issues an anonymous account by default. No email address or password is required to start using the service.

Only if you choose to link a Google account or an Apple account (for purposes such as transferring your account to a new device) do we receive your email address, display name, and similar information from the linked provider. (With an Apple account, your email address may be withheld or replaced with a relay address depending on your settings.)

When you check in, we record the store identifier, store name, and time. Location coordinates are not stored (see Section 5).

3.5 Notifications

If you allow push notifications, we store your device notification token.

We also store your notification preferences (master and per-category settings, and per-store opt-in for coupon notifications). Per-store opt-in settings also serve as a record of consent.

3.6 Merchant information

When you apply in the app for owner verification of a store (a procedure in which you apply as the owner of a store that is already listed), we collect a contact email address, a phone number, the details of the coupon to be offered, and your agreement to the Merchant Terms. Anything you enter in the free-text contact field is collected as well. The store's address is not newly collected in this procedure; we use the information that is already listed.

The contact email address and the phone number are never made public. We use them only to contact you, to confirm that you are the owner, and to check the facts if we receive a report that an application was made improperly by a third party.

Registering a credit card is required in order to become a member store. Card details are collected directly by our payment processor (Stripe, Inc.) and are never received or stored by us. We receive confirmation that the registration has completed, together with the identifiers needed for billing.

The store name, category, store description, business hours, store address, and phone number shown on the store page are information that we list based on publicly available sources, or edits proposed by the store's owner or by users. This is primarily information about the business; however, for sole proprietors, the store's address and contact details may overlap with the individual's own information.

Information about member stores is retained while the store remains registered as a member. If you delete your account, we delete contact information such as the email address and the phone number, and the store listing returns to the same treatment as non-member stores (see Section 8).

In addition, if you submit the owner sign-up application form on our website, we collect the details you enter (store name, contact person's name, contact email address, phone number [optional], store URL or address, and your message), together with the sender's IP address (stored in hashed form) for spam prevention. We use this information to confirm that you are the store owner and to contact you.

We retain application details for 24 months from submission and delete them thereafter. Hashed sender IP addresses stored for spam prevention are retained for 30 days and then deleted.

3.7 Shipping Information

When we ship physical items, such as delivering a keepsake item under the XP exchange program, we ask for the recipient's name, postal code, address, and phone number. We use this information solely for shipping, and delete it once shipping is complete (or at the time we decide not to ship).

3.8 Private messages

We review the contents of private messages only where required by law, where necessary to investigate a violation of the Terms of Service, or where necessary to protect the life, body, or property of a user.

3.9 Payment Information for Monitor Compensation

When we pay compensation to a monitor, we ask for the details needed to receive it (bank account details or PayPay account details). We use this information solely for payment, and delete it once payment is complete.

3.10 Monitor Application Information

When you apply to be a monitor, we ask for your name, email address, the nature of your stay in Vancouver, when you arrived in Vancouver (or, if you have not yet arrived, when you plan to arrive), when you plan to leave, the types of social media you use and your social media account names, whether you are able to receive compensation, and any questions or requests you choose to write. We use this information to review applications and to contact you about your application.

We also collect the sender's IP address (stored in hashed form) for spam prevention.

We retain application details for 24 months from submission and delete them thereafter. Hashed sender IP addresses stored for spam prevention are retained for 30 days and then deleted.

4. Purposes of Use

  2. Reviewing posted content and store information (detecting inappropriate content)
  3. Issuing and managing coupons
  4. Generating responses for AI features (store search and suggestions, resume review)
  5. Verifying the validity of check-ins
  6. Delivering notifications and managing notification settings and consent
  7. Preventing misuse and responding to inquiries
  8. Improving the service
  9. Operating the monitor program (reviewing monitors' activity and discussing continuation)

Coupons are redeemed by showing the screen at the store and having the store scan it in the app to confirm the use. No personal information about you is provided to merchants when you use a coupon.

We may display aggregate statistics that do not identify individuals (such as the number of users who have favourited a store) in the merchant dashboard.

We do not use your personal information for advertising or sell it to third parties.

5. Location Information

Location information is obtained only when you perform a check-in. We do not collect or track your location continuously in the background.

The obtained coordinates are sent to our server and used solely to determine whether you are within the required distance of the store. The coordinates are not stored after this determination. Only the store identifier, store name, and time are recorded.

6. Disclosure to Third Parties and Service Providers

We entrust the handling of personal information to the following providers, in each case limited to what is necessary to achieve the purposes of use.

In addition, some in-app content (such as weekly topics) is generated by AI; no personal information about you is used in generating it.

Except where disclosure is required by law, we do not provide personal information to any third parties other than those listed above.

7. Data Storage Location and Cross-Border Transfers

Your data (the database and file storage) and our server processing infrastructure are located in Canada (Google Cloud northamerica-northeast1, Montreal).

The following processing, however, is performed by providers located in the United States:

In addition, the operator accesses data from Japan to the extent necessary to operate the service.

Accordingly, your personal information is stored in Canada, and portions of it are processed in the United States and Japan. The United States is not designated by Japan's Personal Information Protection Commission as a country with a system meeting its adequacy standards. The operator entrusts processing only after confirming that each provider maintains safeguards consistent with internationally recognized standards. By agreeing to this Policy, you consent to the handling of your information outside your country as described above. For information about the personal-information protection regimes of the destination countries, please contact us at the address in Section 1.

8. Retention and Deletion

Coupon redemption records and merchant billing records are retained to satisfy tax and accounting record-keeping obligations. They are not referenced for the purpose of identifying you as an individual.

9. Analytics, Advertising, and Tracking

The app itself uses no third-party tools for behavioral analytics, advertising, or crash reporting.

On the web catalog (lastmods.com — meaning all web pages served on this domain; hereinafter the same), we use Google Analytics (GA4), an analytics service provided by Google LLC, to understand how the catalog is viewed and to improve the service. GA4 collects information such as page views, referrers, approximate country/region, and browser/OS. GA4 does not store individual IP addresses. Collected information is retained for up to 14 months and then automatically deleted. We do not use GA4 data for advertising, and we do not enable integration with Google Ads (Google Signals).

In no case do we share your activity with third parties for targeted advertising. If you wish to opt out of GA4 collection, you can use the Google Analytics Opt-out Browser Add-on provided by Google. This analytics applies only when viewing the web catalog and does not apply to the app itself.

10. Cookies on the Web Catalog

On the web catalog (lastmods.com), Google Analytics (GA4), described in Section 9, stores a first-party cookie in your browser to distinguish users. This cookie is used solely for analytics and not for advertising.

Web pages also use Google Fonts (a font-delivery service provided by Google LLC); when you view a page, your browser sends access information such as your IP address to Google.

11. Text-to-Speech

Learning content is read aloud using the speech-synthesis capability provided by your device's operating system. How that processing is performed depends on your device and OS settings, and the operator does not control it.

12. Requests for Access, Correction, and Deletion

You may request access to, correction of, deletion of, or suspension of use of your personal information. Please contact us at the address in Section 1.

Businesses listed as stores who wish to request corrections or removal should use the contact channel set out in the Terms of Service.

13. Use by Minors

We recommend that the service be used by persons 19 years of age or older.

14. Security Measures

We implement measures including encryption of communications, access-permission controls, and secure storage of credentials (Secret Manager).

15. Amendments to This Policy

If we amend this Policy, the amended version will be posted on this page. For material changes, we will provide advance notice, such as through in-app notification.
